Are the converted times accurate?

The conversion system conforms to the algorithm specified by SportSystems which was used to generate the Equivalent Performance Tables. The conversion algorithm used in the swimcalc converter has been checked against the data in the ASA documents and also against the Windows based converter distributed by SportSystems.

So we're pretty confident that there are no errors in the data that we base our conversions on. If you think you've found an error, though, we'd be delighted to hear from you. We think we are 100% correct, but if we're not then we'll fix it immediately.

The Equivalence Tables have an upper and lower bound so cannot cater for all conversions (for example, the 50m Freestyle conversion table caters for 25m times between 21.1 and 44.5 seconds). Where a time/distance/stroke combination is entered which falls outside of those bounds, the algorithm is still used to generate an estimated result. Where a converted result is generated this way it is displayed on an orange background and the word 'Estimate' is displayed beneath the calculated figure. e.g.

How can I link to swimcalc.com from my clubs website?

To link to the swimcalc.com website from your own clubs website, all you need to do is contact us at swimcalc@swimcalc.com and provide as much of the following information as possible:

Club NameThis is the full name of the swimming club e.g. Chorley Marlins ASC
Logo URLYour customised web page requires a banner containing your logo and associated text. The logo should be 282 pixels wide by 121 pixels high. It will be displayed on a white background. In the future, more complex skinning of your website may be supported.
Website URLThis is the URL of your website and allows the user to click on your logo to return to your website.
Contact EmailA contact email which we can use to reach you to discuss any issues with your converter page.
If you're not able to provide a logo or wish SwimCalc to keep the logo file on our computers just let us know and we will help you out.

How can I personalise the list of galas associated with my club?

Firstly, you need to link your club to swimcalc.com by following the instructions above. Once this is done, you can login to the swimcalc website and add and remove galas from the list of galas which are display on your own converter page. You can access all the galas loaded into the swimcalc database, whether you requested them to be loaded or not.

How can I add the qualifying times for a gala to the swimcalc.com website

If your club has a gala coming up and want the qualification times loaded into the swimcalc database, then you can contact swimcalc@swimcalc.com. You need to send:

Gala Name This name will form the title of the gala on the conversion page, so if there are similar named galas then you need to ensure that its clear which gala is being referred to.
Gala Date The gala date is displayed on the converter page next to the gala name.
Qualifying Times Send us a spreadsheet, PDF file or scanned in copy of the qualifying times and we will do the rest. Alternatively, if you know of the gala and who to contact to get the official gala qualifying times let us know and we'll try to get a copy.
Gala Website URL (optional) If the club/organisation organising the gala has a website, then please provide it. We link back to this website and expect any gala related queries to follow this route. Please don't enter your own club URL unless it's your club that is running the gala.
URL to a copy of the Qualification Times(optional) The SwimCalc gala qualification times are an indication of gala entry conditions only and swimmers should view the formal qualifying time documentation before making entries. We provide a link to the 'hard-copy' of the qualifying time documentation if it is provided.

How can I personalise the list of galas associated with my own visit to swimcalc.com?

When you visit the swimcalc.com website, we give you a small parcel of information to store on your computer called a cookie. When you return to swimcalc.com, you web browser sends the cookie back to us, so we can recognise you. Once we know who you are then we can save a list of galas that you are interested in and display them whenever you make a time conversion. To add or remove galas from your personal list of galas just select the Galas button at the top of the conversion web page. You will see a list of galas that your club website manager has selected, a second list of your personal selections and following this a list of all the galas available for you to select. Click on the 'select' or 'deselect' links next to the gala names to modify the lists.

Of course, for this process to work your browser needs to be set to accept cookies.

I entered a gala based on the guidance of your website but my entry was rejected. Why?

The Qualification Times calculator provided by swimcalc provides a guideline only to gala qualification times. Before you fill in your gala entry form, you MUST consult the official qualifying times published by your gala promoter.

Swimcalc receives the qualifying times from various sources and our staff manually load them into our database. We're very careful and make every effort to check the data thoroughly, but there is always a chance that a mistake has crept into our data. If you find an error then we'd be extremely grateful if you notify us of the fault.

On the other hand, there are many other reasons why gala entries are rejected. Sometimes a gala can become oversubscribed and promotors have to reject entries that meet the entry times in order to reduce numbers of entrants. Sometimes the entry times are checked against various online swim time databases (e.g. the ASA rankings database) and entries can be rejected due to anomalies on the entry form. And sometimes gala promoters reject entries for which the entry form is not completed correctly.

Its also been known for entries to be rejected because the conversion of a time from one pool size to another does not match the ASA conversion algorithm. There are conversion websites on the internet which incorrectly convert times (e.g. they may use the US conversion algorithms rather than the UK version). swimcalc.com was set up to ensure that the UK conversion algorithm defined by the ASA is available to UK based swimmers.

What data do you store about my visit to your website and how do you plan to use it?

If you are a club that links to SwimCalc, then we keep a record of your clubs URL (we link to this URL via the logo you provide) and also a record of your clubs contact email address. We don't give out email addresses to anyone, and we would only generally send emails to club contact addresses when we notice something that affects your clubs link to us (.e.g. if the link to your clubs logo stops working) or when we are replying to an email you sent us.

If you are a internet surfer, then we do record the following information:

  • The club site id you are using to accessing swimcalc.
  • The IP address of your computer
  • The event, distance and swim time that you asked to be converted
If you have cookies enabled then we send a cookie to your computer. If you select some extra galas to display when you access the converter we use this cookie to remember which galas you chose. The IP address that we store is also used as a method of remembering which galas you selected last time.

When a large enough sample of times is entered into our database, then SwimCalc plan to generate graphs of most popular events, most requested conversions, etc. There will be no way to identify individuals information from the data that we display on our website.

How much does this service cost?

This service doesn't cost clubs or swimmers anything at all. The converter pages do display adverts which generate revenue to support SwimCalc.
